Deposit: A deposit of 20% of total due is required to guarantee your event. Deposit will be credited to your final bill. Your requested date is tentative and is contingent upon the deposit that is processed by check or a credit card on the date of receipt of a signed contract. The tee times will not be processed until the terms above are met. The balance of the outing is due the day of the event. If an invoice is needed, one may be prepared ahead of time.
Confirmation of players: Confirmation of the final number of players is required 10 days prior to your event. The organization will be responsible for the total fees, number of players and attendants confirmed at that time. If more players arrive at the course than confirmed, we will attempt to accommodate them. No guarantee will be made as to availability.
MEADOWCREEK GOLF COURSE RESERVES THE RIGHT TO UTILIZE THE COURSE TO ITS FULLEST. A final player list must be provided to the course no later than 4 days prior to the event.
Weather: Events will be played rain or shine except in the event of severe weather (notified by course’s THOR GUARD lightning system) or if a club representative (Pro, Assistant or superintendent) closes the course. In either case, the course will credit your fees and reschedule your event.
Cancellation Policy: Any event that needs to cancel must do so 6 days in advance. After the 6 day period, any fees paid to the course will not be refunded. Cancellations prior to the 6 day period will receive a full refund.
Players Responsibilities: All players should be checked in at designated registration table 30 minutes prior to their event to ensure a proper start. Pace of play should be 4 ½ hours for 18 holes and will be monitored. Groups falling behind will be asked to catch up. Repeated violators will be asked to skip holes or leave the course
Liability: Any damages to Meadowcreek Golf Course by the outing or its guest will be added to the bill. In the event of a cart-related accident, the coordinator named in the contract will be responsible for furnishing the name, address and phone number of the individual(s) involved in the accident. The group understands that they are responsible for any damages to the carts that may occur during the outing while the carts are in the possession of the participant.
Foot Wear: Meadowcreek is a non-metal spike facility. Spikes can be changed at $10.00 per player. Please allow 30 minutes for changing
Food and Beverages: All events are required to use the Meadowcreek Grille for their outing food and beverage needs. Please note that it is a direct violation of Virginia ABC Laws and Meadowcreek Policy for any alcohol to be brought onto Meadowcreek property for outing use. All alcoholic beverages to be consumed on our property must be purchased from the Meadowcreek Grille. Any violations could result in forfeiture of deposit(s), green/cart fees for the entire group and future consideration of hosting your group in the future.
